Job Responsibilities

This position is located in the Facilities Management, Inventory Management Division, Headquarters, Blythewood, South Carolina. This position will perform all duties associated with Fleet Coordinator duties to include: all SCDMV & State Fleet Management (SFM) documentation; liaison between SFM and SCDMV for vehicle replacements, accident information, contract coordination on future fleet policies, coordinates the execution of the Facilities Management (FM) work order program, organizes preventative maintenance schedules, assists with Comprehensive Permanent Improvement Program (CPIP) with SCEIS Shopping Cart creations, maintains the master key log/safe combination program.

Job Functions:

  1. Manages SCDMV Fleet Vehicles. Ensures that all drivers are abiding by State Fleet Policy and SCDMV Internal Fleet Policy. Manages all budgets and ensures documents are archived according to State Archives Requirements. All hard copies are labeled neatly, soft copies are stored in a well organized fashion on the G: Drive. Ensures that all Motor Pool vehicles are receiving routine maintenance. Coordinates car washes with SRM vendor. Manages Mansfield Oil and SFM monthly reports and billing. Collects and enters mileage for the SCDMV. Coordinates with SFM all vehicle exchanges (turn ins/accidents/fleet additions, etc.). All new vehicles must have SCDMV logos affixed to front doors. Prepares all necessary fleet reports and prepares contracts for signatures.

  2. Works in SCEIS to create Shopping Carts for Facilities & Inventory Management Departments working with budget to ensure all coding is correct. Ensures that work is completed and performs Goods Receipts. Prepares all documents for signatures. Also, works in SCEIS ECC to pull IDT invoices for DPS chargeback billing and prepares spreadsheet for Revenue Accounting.

  3. Manages landscape, janitorial and refuse collection contracts. Maintains correspondences, updates vendor lists, problem resolution with vendors, provides feedback on contract renewals. Works closely with Procurement to resolve contract issues.

  4. Utilizes extreme confidentiality in updating the HR User Management Log, sends emails to new recipients ensuring they officially account for their assets. This monitoring of employees must be checked (1) time per week. Keeps track of Work Orders and Safe Log Receipts.

  5. Assists Facilities team with projects, provides back up support to the following areas: Work Order Mailbox, Utility Trac and Bank of America and will be required to assist the Department during hazardous weather.

  6. Performs other duties as required by manager

Minimum and Additional Requirements

State minimum requirement: A high school diploma and relevant program experience. Agency minimum requirement: A bachelor's degree or approved acceptable equivalency of a high school diploma and (5) years relevant program experience. A valid SC motor vehicle operator's license is required. Preferred experience with knowledge of governmental fiscal procedures, practices and policies.

Knowledge of principles and practices applicable to State of SC Procurement Code. Oversees Facilities and SCDMV Fleet Operations budgets and prepares all associated paperwork. Prepares weekly and annual reports due internally and to other State Agencies. Must be well organized and able to communicate effectively orally and in writing. Must be able to exceptionally utilize Microsoft Office Suite, SCEIS and other web-based programs to perform job functions.

Under general supervision, employee should be able to work independently as well as in a team environment. Performs complex duties requiring confidentiality/discretion and actively participates in interpreting and applying State law/codes, Agency policies and procedures.

Position is based at SCDMV Headquarters located in Blythewood, SC. Must be able to lift up to 50 pounds. Occasional overnight travel may be required. Employee will be required to assist the Department during hazardous weather. Must be able to work in a fast-paced office environment.
